I keep contact details (phone number) until after the booking has finished.
After that what happens to the number is dependent on what instructions I have from my client. Unless I am told I may use their number for future contact, I delete it when the booking is over.
The only numbers that get saved to my phone or client contact list are those who give me permission to do so. The only other way your number will get saved is if you are a complete wanker/tosser and your number will be saved with appropriate notation so I dont ever have to have contact with you again.
If a client books through my online booking service (which is provided by ClickBook.net) they have a choice of registering as a client with their contact number and email address, this allows them to also choose to get a reminder sms or email at a time frame they set before the booking. They do not have to register to make a booking. Its entirely up to them. Information provided if they register is secured on Clickbook's servers.
All of my email is kept on an external hard drive which is locked away in a safe when not in use. Email enquiries and booking enquires are kept for a period of one month, unless client requests future contact.
My contact list is on my iPhone, and this can be remotely wiped/deleted if need be.
I also have an opt in mailing system. People may choose if they sign up for newsletters which includes specials, discounts, etc. They can subscribe to a number of lists such as general news, tour news for each city, specials, and are in complete control over what information they provide and can update or unsubscribe at any time. I only send out newsletters every couple of months or when anything changes with my hours/rates, or if I have any specials.
I never contact clients or past enquiries out of the blue, the only time anyone will ever get any communication from me is in direct response to their own enquiry, or if they have requested that I keep in touch. I wont even message anyone on msn or yahoo unless they message me first, as I do not know who may be sitting behind their computer.
Some clients do request I keep their number, as I will give preference to bookings with people I have seen before and if I am able to I will answer calls from clients I have seen previously.
With clients who have partners I will also give them an alternative phone number to contact me on which does not have the voicemail which if anyone (read wife/girlfriend/significant other or general nosy person) listened to would quickly realise who I was. My alternative number is not listed anywhere on the net, and it has a very generic voicemail message which gives no information as to who I am.
If I do get voicemail on my usual work number, unless there is a clear time provided to call back I will not return the call. So its best to always leave a suitable time you can be contacted up till. When I reply to text messages, I am also very discreet and use very general language, and tend to answer with replies that could be from any other business. Too many clients dont clear out text messages and its surprising how many get busted by wives/partners that way. I always try to drill appropriate ways to cover your tracks into clients lol
I do understand discretion, I expect it myself from my clients, and would never dream of being anything but the soul of discretion with my clients details. I have even concocted stories to get clients out of trouble when they have been busted with my number. Trust me its never a fun thing to get a call from the other half, and its something I do my best to avoid happening. But if it does I will do my utmost to cover my clients butt so to speak.
